BidBud ("we," "us," or "our") operates the BidBud platform at bidbud.pro (the "Service"). This Privacy Policy explains what information we collect, how we use it, and your choices regarding your data.

By using the Service, you agree to the collection and use of information as described in this policy. This Privacy Policy should be read alongside our Terms of Service.

1. Information We Collect

1.1 Account Information

When you create an account, we collect:

  • Name
  • Email address
  • Company name (if provided)
  • Authentication credentials (managed through our authentication provider)

1.2 Uploaded Documents

When you use the Service, you may upload architectural blueprint PDFs and related documents ("Your Documents"). We process these documents solely to provide takeoff estimates. Your Documents may contain project names, addresses, architectural details, and other construction-related information.

1.3 Transaction Information

When you purchase credits, we collect transaction details including purchase amount, date, and credit pack selected. Payment processing is handled by our third-party payment processor. We do not store your full credit card number, CVV, or other sensitive payment credentials on our servers.

1.4 Usage Information

We automatically collect certain information when you use the Service, including:

  • Pages visited and features used
  • Takeoff processing history and results
  • Device type and browser information
  • IP address
  • Date and time of access

1.5 Residential Estimate Information

When you use the free residential estimate feature, we collect the property address and service type you provide. We may use third-party data sources to retrieve property details such as square footage and year built to generate your estimate.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Service
  • Process your uploaded documents and generate takeoff estimates
  • Process credit purchases and manage your account
  • Generate branded reports and exports
  • Send account-related communications (confirmations, security alerts, support)
  • Monitor and analyze usage patterns to improve accuracy and performance
  • Comply with legal obligations

We use Your Documents to provide the Service to you. We may also use Your Documents and takeoff results in anonymized or aggregated form to improve the accuracy and performance of the Service. We will never share, sell, or publish Your Documents or use them in any way that identifies you or your projects to third parties.

3. Third-Party AI Processing

To generate takeoff estimates, Your Documents are transmitted to third-party AI providers for processing. Our current AI providers include:

  • Anthropic (Claude API)
  • OpenAI (GPT API)
  • Google (Gemini API)

These providers process your data through their APIs under their respective data handling policies. Under their current API terms, data submitted through their APIs is not used to train their models. We encourage you to review their privacy policies for additional detail.

We may change or add AI providers as the Service evolves. We will update this policy to reflect any material changes to our AI processing partners.

4. Data Sharing

We do not sell, rent, or trade your personal information or Your Documents to third parties. We may share information only in the following circumstances:

Service Providers: We share data with third-party service providers who help us operate the Service, including cloud hosting, payment processing, authentication, and AI processing as described in Section 3. These providers are contractually obligated to use your data only as needed to provide their services to us.

Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request.

Business Transfers: If BidBud is acquired, merged, or sells its assets, your information may be transferred as part of that transaction. We will notify you of any such change.

With Your Consent: We may share information with your explicit consent.

Aggregated Data: We may compile, anonymize, and aggregate data derived from use of the Service - such as regional pricing trends, material quantity benchmarks, and market activity - and share or sell such aggregated data to third parties. Aggregated data will never identify you, your company, or your specific projects.

5. Data Storage and Security

5.1 Storage

Your account data and takeoff results are stored on secure cloud infrastructure within the United States. Your Documents are stored in your account for your continued access until you choose to delete them.

5.2 Security

We implement reasonable technical and organizational measures to protect your data, including encryption in transit (TLS/HTTPS), access controls, and secure authentication. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

5.3 Retention

We retain your account information and takeoff results for as long as your account is active. Your Documents are retained in your account until you delete them. Upon account deletion, we will remove your data within 30 days. We may retain anonymized, aggregated data that cannot be used to identify you for analytical purposes.

6. Your Rights and Choices

6.1 Access and Deletion

You can access, download, or delete Your Documents and takeoff results at any time through your account dashboard. To delete your entire account and all associated data, contact us at hello@bidbud.pro.

6.2 Communications

You can opt out of non-essential email communications at any time. We will continue to send account-related transactional emails (such as purchase confirmations and security alerts) as long as your account is active.

6.3 Cookies

We use essential cookies required for the Service to function (such as authentication session cookies). We do not use advertising or tracking cookies. We do not serve ads on BidBud.

7. Children's Privacy

The Service is designed for licensed contractors and construction professionals. It is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected data from a child under 18, we will delete it promptly.

8. State Privacy Rights

Depending on your state of residence, you may have additional rights regarding your personal information, including the right to know what data we collect, the right to request deletion, and the right to opt out of certain data sharing. If you are a resident of California, Virginia, Colorado, Connecticut, or another state with applicable privacy legislation, you may exercise these rights by contacting us at hello@bidbud.pro. We will respond to verified requests within the timeframes required by applicable law.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice on the Service prior to the changes taking effect. Your continued use of the Service after the effective date of the updated policy constitutes acceptance of those changes.
